Duties and Powers of the Executive Board
President
● Oversees all activities of the organization.
● Inform all Board members of the happenings of the organization and their
Responsibilities.
● Be responsible for organizing PDSA mock interviews.
● Organizes monthly journal club meetings to discuss with members on current events in dentistry.
● Coordinates non-clinical workshops.
● Maintain relations with other UCF RSOs.
● Plans and schedules dental school trips and admissions board visits to UCF.
● Primary individual representing PDSA to professors, UCF personnel, and outside
organizations.
● Coordinates meetings and workshops to ensure the smooth operation of the organization.
● Obtains appropriate facilities for organization activities (Ex. Room Reservations).
● Prepares and files any report required.
● Represent the organization at official functions.
● Maintains contact with organization advisor.
● Maintains contact with organization alumni.
● Remains fair and impartial during the organization's decision-making processes.
● Oversees all committees and their respective directors.
Vice President
● Assist the President and preside at Association meetings in the absence or incapacity of
the President.
● Works closely with the President in order to ensure the smooth operation of the organization.
● Responsible for assisting members in finding shadowing opportunities with local dentists
through the PDSA shadowing program.
● Coordinates non-clinical workshops.
● Responsible for contacting speakers for the general meetings.
● Inform members on the application and testing process by hosting workshops.
● Represent the organization at official functions.
● Oversees all committees and their respective directors.
● Regularly update the president on their position.
Treasurer
● Act as the official administrator of the funds and accounts of the Association.
● Regularly update the President, and executive board about the financial standings of the organization.
● Required to keep all bookkeeping for PDSA finances.
● Responsible for planning fundraising projects for the organization.
● Pays organization bills.
● Orders all organization T-shirts, Executive Board polos, and merchandise.
● Collects organization dues and keeps an accurate list.
● Prepares all budget requests for funds.
● Assists the Volunteer Coordinator in acquiring funding through senate bills and fundraisers for the annual service trip.
● Plans and manages the annual banquet.
● Responsible for creating and overseeing the Banquet committee.
● Oversees all committees and their respective directors.
● Regularly update the president on their position.
Dental Education Coordinator
● Responsible for all Clinical Workshops that prepare members for shadowing, clinical volunteering, and dental school.
● Plan Clinical Workshops at the beginning of each semester and notify sponsors.
● Notify Media relations of the dates for workshops to allow time for promoting the events.
● Oversees all committees and their respective directors.
● Regularly update the president on their position.
Volunteer Coordinator
● Organize volunteering events for the Association; both on and off campus.
● Connect members with long term volunteering opportunities.
● Primary individual responsible for all volunteering events making sure they run smoothly.
● Responsible for preparing and engaging members at the volunteering opportunities.
● Responsible for obtaining funding and organizing the annual service trip.
● Primary overseer of the service trip committee
● Plan and host meetings for the members attending the service trip to create a better team bond.
● Keep records of members who have volunteered at specific events throughout the year.
● Ensures all members have the appropriate attire and the official club logo on their scrubs.
● Oversees all committees and their respective directors.
● Regularly update the president on their position.
Secretary
● Keep track of all member points, and members who have achieved active honorary membership.
● Plan social activities and events throughout the year.
● Plan and run the annual Field day in the spring.
● Responsible for PDSA email communication unless specifically directed to another
Board member.
● Creates and distributes the PDSA post for each meeting of the organization.
● Prepares the organization's calendar of events.
● Ensures all members are well informed of all upcoming events through the official PDSA weekly email.
● Maintains the official PDSA Discord.
● Maintains all records and files that are essential for smooth operations within the club.
● Oversees all committees and their respective directors.
● Regularly update the president on their position.
Media Relations
● Responsible for recruitment, public affairs, advertising, flyers, graphic designs, and creating a positive image for PDSA.
● Primary contact for designing and ordering promotional items.
● Presents and requests funds for promotional items to the UCF Student Government.
● In charge of setting up tabling events in order to help promote our organization.
● Responsible for maintaining the PDSA website, Instagram, and TikTok updating
constantly and accepting responsibilities of web page maintenance.
● Keep a record of the club’s accomplishments and activities for the year through pictures
● Oversees all committees and their respective directors.
● Regularly update the president on their position.
Electoral Process
How is the Executive Board elected?
Officers are elected through an electoral process at the end of each spring semester. Voting privileges are given to active members holding a minimum of 20 Honorary Points.
PDSA Candidate Requirements:
President: Must have held a position as officer (in any other position) in the previous year and meet UCF’s requirements for being an RSO officer.
Vice President: Must have been an honorary member the previous year and meet UCF’s requirements for being an RSO officer.
Treasurer: Must have been an honorary member the previous year and meet UCF’s requirements for being an RSO officer.
Clinical Coordinator: Must have been an honorary member the previous year and meet UCF’s requirements for being an RSO officer.
Volunteer Coordinator: Must have been an honorary member the previous year and meet UCF’s requirements for being an RSO officer.
Secretary: Must have been an honorary member the previous year and meet UCF’s requirements for being an RSO officer.
Media Relations: Must have been an honorary member the previous year and meet UCF’s requirements for being an RSO officer.
*Exceptions can be made in certain occasions at the discretion of the current year officers based on how active a member has been in the club.
Note: Being a director or being a committee leader is not a requirement in order to run for an executive board position.
UCF’s Requirements for Being an RSO Officer:
Enrolled in a minimum of 6 hours in the fall and spring semesters.
Minimum GPA of 2.5.
Good academic and disciplinary standing.
Free of financial and disciplinary holds.
Voter Requirements:
Must have a minimum 20 points.
Must be present on election day.
